It is divided into the following sections:
The Home Dashboard is the first section on your home screen. It gives you the following info at a glance:
You'll see a bar chart showing the totals and number of invoices for Current Invoices, Invoices past due by 0-30 days, Invoices past due by 31-60 days, Invoices past due by 61-90 days, and Invoices past due more than 90 days. You can use the bar chart to filter the open invoices by days past due.
In the top left hand corner of your InvoiceSherpa account you'll notice an icon indicating if your account has a live sync with your accounting platform set up yet. When the sync is live you can use this area to do a quick data push/pull from your accounting software into InvoiceSherpa (or vice versa). Remember InvoiceSherpa has a live two way sync (sharing activity with your accounting platform and searching it for any new customers or invoices) - it does this automatically about every 40 mins or so. If you'd like to force a sync simply click the "Sync Now" button.
Opposite the Accounting Connection in the top RIGHT hand corner of your screen you'll find your Account Manager drop down menu. This allows you to quickly navigate to your accounts settings, log out of your account or (if managing multiple accounts from a single sign on) switch to a different account.
This is displayed on your home dashboard right below the Account Manager.
It will either be Red (when your system is paused).
Or Green which means your system is actively sending reminders.
Check out our video on how to activate or deactivate your system for more information on this particular feature.
On the very top right hand corner you may see an orange exclamation point. If you see this it means you need to set-up some important features. First click on the orange exclamation point.
A message box will appear detailing the settings you need to setup. If you do not want to charge Late Fees you can click the "x." You must setup a Payment Processor in order to collect payments.
The Activity Feed area is located along the top right hand corner of your Home Dashboard, right below the System Status Bar. This keeps a running log of your InvoiceSherpa's account activity, and customer behaviors (such as when a reminder is sent, opened or paid). Each listing includes a link to the PDF invoice and the customer. Select the Customer name to open the Customer record. Select the Invoice number to open a PDF of the invoice.
The Open Invoices area below the Home section provides a list of all open invoices in your account. Each invoice shows the details for the open invoice, with links for the following actions:
Each open invoice listing also includes links to additional information. Select the Customer name to open the Customer record. Select the Invoice number to open a PDF of the invoice.
You can change the number of invoices showing per page on the Open Invoices area, as well as search for a specific Customer using the search bar.
Below the Open Invoices area you'll find Draft Invoices. Here you'll find a list of all the invoices that exist within your accounting system, but have been marked as pending to be sent or "Drafted". InvoiceSherpa wont schedule any actions against these invoices until they're marked as "Ready" in your accounting system.
The Scheduled Actions area shows upcoming actions for the next 7 days. You can sort this view by Invoice Reminders, Customer Statements and Credit Memos.
Each action shows the Client, the Invoice number, the Scheduled Date, the number of days Past Due, the Type of Scheduled Action (for example Email Reminder) and the "Kind" of action (for example "Invoice Past Due"). Select the Customer name to open the Customer record. Select the Invoice number to open a PDF of the invoice. You can select a new number from the Showing drop down list to show more or less scheduled actions at a time. You can also search for a Scheduled Action by customer name or filter the list by entering information in the Search field (a few letters of the customer name, or the date or invoice number). Navigate from one page of Scheduled Actions to another by using the First, Last or numbers at the bottom of the list.
You can delete a scheduled reminder using the Scheduled Actions list.
The Recent Actions area is similar to the Scheduled Actions except that it shows reminders that have already been sent. Each action shows the Client, the Invoice number, the Date the action happened, the number of days Past Due, the Type of Action and the Kind of Action. Select the Customer name to open the Customer record. Select the Invoice number to open a PDF of the invoice. Just like in the Scheduled Actions area, actions can be filtered by Invoice Reminders, Customer Statements and Credit Memos. You can select a new number from the Showing drop down list to show more or less recent actions at a time. Use the First, Last or numerical options at the bottom of the list to jump to a different page of the Recent Actions record.
The left hand menu bar (the InvoiceSherpa Menu) allows you quickly navigate to any of the other modules within your InvoiceSherpa account (like Invoice Reminders, Automatic Payments, Customer Portal and Late Fees).
